When I try to create a new notebook in OneNote for Mac, I receive the following error: Cannot Create This Notebook. The location may not be available at this time, or you might not have permission to save files on it. Also try using fewer characters in your notebook name. OneNote is a member of the Office family you already know. Shape notes with points pulled from Outlook email, or embed an Excel table. Get more done with all your favorite Office apps working together. Connect in the classroom. Bring students together in a collaborative space or give individual support in private notebooks. And no more print.
MicrosoftOneNote has been around for a couple of decades. However, Microsoft has been offering two versions â Office 365 and UWA â of its popular note-taking service in the last few years. The Office 365 version works just like the previous versions, and a UWA (Universal Windows App) client is available from the Microsoft Store.
OneNote has been entirely free to use unlike other apps from Microsoft Office suite. In a recent push of native Windows apps, the company shut down the desktop version of OneNote, and is now focusing on the UWA version.
Microsoft is slowly adding OneNote desktop features to its UWA counterpart. While they have done a pretty good job, the company still hasnât carried over all the keyboard shortcuts to the new app.
Now that doesnât mean, we are out of options. The service does offer some compelling keyboard shortcuts. And in this post, I will cover the top essential shortcuts for OneNote on Windows and macOS platforms.

Before diving into the article, let me make it clear that I wonât be talking about the usual shortcuts here. The common ones such as Copy (Ctrl+C), Paste (Ctrl+V), Undo, Redo, select all are universal, and you are probably using it in one way or the other. Instead, I will walk you through the most important ones that help you get the job done.
Note: For Mac users, the Command button works similar to the Ctrl function on the Windows. So when Iâm mentioning Ctrl key on Windows, the same trick applies to macOS with Command key.

As with many note-taking applications, OneNote does support adding bullet points or numbering scheme to the note. You can use Ctrl + . shortcut on Windows or Command + . on macOS for bullet points or opt for Ctrl + / and Command + / to add numbers respectively. One can also go with various shapes and numbers from the list. They are not supported by any keyboard shortcuts though.
2. Select Title of Page
There come times when you quickly want to change the title of the page. You can use Ctrl + Shift + T shortcut or Command + Shift + T shortcut on macOS to select the pageâs title.
3. Insert Hyperlink
OneNote does provide an option when you want to add a hyperlink to a certain word, just select the word and press the Ctrl + K or Command + K shortcut for macOS shortcut to complete the action.
4. Highlight Words
In a long note, you might want to highlight certain words to make them stand out in the crowd. With OneNote, you can easily highlight certain sentence or words with a quick shortcut of Ctrl + Shift + H and Command + Shift + H shortcut on a Mac.

Working on a long note for a certain period time, you might want to add a date and time to the recent edits. Just press Alt + Shift + F or Shift + Command + D shortcut on Mac.
6. Show/Hide Ruler Lines
As the name suggests, OneNote does support ruler lines through the notes. Just press Ctrl + Shift + R on Windows to add or remove ruler lines from the page.
7. Add a New Subpage below the Current page
OneNote supports adding a subpage to a specific page in a given section. Itâs useful in long projects. Press Ctrl + Shift + Alt + N shortcut, and you are good to go with a new subpage.
8. Open Another OneNote Window
Working on multiple OneNote pages can become tiresome after some time. Thankfully, OneNote does support opening a new window to add content. Press Ctrl + M shortcut to trigger the action.
9. Create New Notebook and Section
As you may already know, OneNote does support adding new notebooks and section to it. Now, of course, you can select â+â icon, but even better one can use Ctrl + T or Command + T shortcut to add a new section. You can also create a new notebook using Control + Command + N shortcut on Mac.
You can also add a new page into section by quickly pressing Ctrl + N or Command + N.

OneNote does support adding tables to the pages. After a while, you may want to add columns to the table. On Windows just press Ctrl + Alt + R (for adding column to right) and Ctrl + Alt + E (for adding column to left). On macOS, you need to press Control + Command + L (adding a new column to left) and Control + Command + R (for adding a new column to right).

This one is a lifesaver. I regularly use them. Adding tags is the best way to glance through what's important or what needs to be highlighted. Also, they are the easiest ones to remember.
For windows, one can use Ctrl + 1 (To-do), Ctrl + 2 (Important), Ctrl + 3 (Question), Ctrl + 4 (Remember), Ctrl + 5 (Definition), and Ctrl + 0 (Remove all tags).
macOS requires Command + 1 (To-do), Command + 2 (Important), Command + 3 (Question), Command + 4 (Remember),and Command + 5 (Definition) keyboard shortcuts.
13. Search Through Notes
OneNote offers powerful search function in the app. Press Ctrl + E or Command + E to search through notes swiftly.

If you have used Microsoft Office apps, then you would feel right at home with the OneNote. The major options, such as drawing, editing, and view, are tucked inside the ribbon at the top. The notebook, pages, and sections are on the left side.
Microsoft has stuck with the winning formula for UI and UX over the years. And it works well with the OneNote software. OneNote also supports the night theme, which I rarely use but might find useful in dark situations.
Bear Notes is known for its intuitive user interface. The app uses a slick-looking UI with notes and tags on the left sidebar. Using Bear Notes, you can easily witness the companyâs close attention to the UI.
Bear Notes also support multiple theming options. You can go to App Preference > Themes and choose from the dozens of available themes.
Notes Organization
This is one of the main differences between the two apps. Notes organization can be the deal-breaker for many users. Some may prefer OneNoteâs Notebook style, while others might prefer the tags-based organization in Bear Notes.

OneNote also lets you insert a table, files, images, audio recording, and even maths equation. You can integrate some built-in stickers too.
OneNote offers drawing capabilities. Itâs mostly useful if your PC or tablet has Pen support. You can use Pen, Marker, and Highlighter, change the ink color and intensity and use the eraser to undo mistakes.
While OneNote throws every possible option at you for editing, Bear Notes smartly hides them to keep the note-taking area clean. When composing a note, you can tap on the little pen icon at the bottom to open the floating menu with editing options.
It covers the basics but lacks the rich-editing options offered by OneNote. The lfunctions include different headings, line separator, quote, code block, to-do, highlighter, file integration, and more.
For note details, you can tap on the info icon at the upper right corner, and Bear will display modification date, words, characters, read time, and paragraphs. I like how Bear Notes mentions keyboard shortcuts for editing options in the app.

OneNote syncs all the created notebooks and data to Microsoftâs OneDrive platform. Bear Notes uses Appleâs iCloud storage to keep the data in sync.
Bear Notes allows you to share the note in PDF, HTML, DOCX, and JPG format. Just tap on the info button at the top and choose the file type to share the note. Unfortunately, you canât invite others to make changes to the note.
OneNote lets you share an entire Notebook with others. You can use the invite link and ask others to collaborate with you on the notebook. Sadly, you canât share a section of the notebook separately. However, you can share a page of a section as PDF.
A Word on Mobile Apps
Bear Notes is only available on the iOS platform and that's why we will talk about app experience on the iPhone. OneNote sticks with the same note organization as the desktop. Open Notebook, go to the section, and start filling-up pages. I like how Microsoft has integrated Sticky Notes add-on in the OneNote mobile app. The search function also works as expected.
Bear Notes iOS app is a joy to use. It feels and looks more polished and responsive than OneNote. You can find the same editing options as well as theming choices.

OneNote is free but has a catch. It uses the OneDrive service to store notes and data. OneDrive only offers 5GB of free space. After that, you need to pay for the additional OneDrive storage to keep using OneNote.
